Job Purpose

Planning, Designing and Managing the AV infrastructure to meet the University requirements. Setup, design and plan operation of large and small scale AV system for live events, classrooms, auditoriums and others while ensuring the utmost in client satisfaction. Provide excellent service through accurate setup and efficient operation of AV equipment and services. Coordinate assigned events with Event Managers & Clients to ensure smooth and successful events at the facility.

  • Planning, designing and managing the AV infrastructure to meet the University requirements.
  • Creating initial design of AV requirements and solutions.
  • Produces scopes of work and manages progress from design through installation.
  • Reviews designs and documentation from vendors ensuring compliance with contractual requirements and specifications
  • Perform on site technical surveys to determine requirements
  • Technical Evaluation of AV projects and Rentals
  • Develops and oversees project schedules and budgetary demands
  • Supervises installation, test and adjustment of A/V systems to ensure compliance with contract specifications
  • Setup AV system for meetings, outdoor events and various functions
  • Oversee/perform scheduled maintenance of installed audio system components
  • Maintain equipment inventory
  • Troubleshooting AV equipment when there are technical problems related to AV equipment and identifying appropriate solutions

Job Specific Accountabilities
  • Development and submission of technical submittals, managed through to conclusion
  • Conducts internal meetings as required, to deliver the design requirements to colleagues/ depts.
  • Review all AV drawings upon design and completion, manage changes as/if required, and ensure full accuracy prior to tendering.
  • Change Control – Manage design changes throughout the life cycle of the project.
  • Work closely with Consultant on his change requirements.  
  • Responsible for accurate setup and efficient operation of AV equipment.
  • Provide superior customer service to both internal and external customers.
  • Maintain a positive relationship with all clients through effective communication
  • Ensure proper security, storage and maintenance of equipment
  • Act as liaison and primary point of contact with clients to plan and implement all aspects of A/V through conclusion
  • Ascertain clients' requirements for set-up, Facilitation, Event and conclusion, etc.
  • Communicate event requirements to appropriate departments
  • Coordinate procurement of proper equipment
  • Oversee operations, contracts etc. to assure event, teaching space and other AV requirements are addressed and met.
  • Implement and enforce safety standards
  • Facilitate all aspects of AV requirements for events.
  • Prepare cost estimates and monitor final billing
  • Provide Event Manager with updates and changes in cost estimates for client
  • Initiate required paperwork
  • Assist with department budget preparations
  • Take inventory, analyze and make recommendations for capital expenditures
  • Purchase and maintain inventory of supplies
  • Provide guidance and supervision to A/V staff during events
  • Coordinate with Event Manager before, during and after events
  • Other duties as required or assigned
Required Skills
  • Friendly presence and helpful attitude; good interpersonal skills and ability to work well with others.
  •  Ability to utilize the applications for Microsoft Office for support, reporting and documentation.
  • Excellent oral and written communication skills.
  • Knowledge of common computing hardware and desktop software applications. 
  • Familiarity with networking concepts and protocols. 
  • Excellent conceptual and analytical problem-solving abilities and solid written and verbal communication skills.
Preferred Qualification & Experience

  • B.Sc. in Computer Science/Engineering or equivalent.
  • At least 6 years of relevant technical experience.
