Job Purpose Support the interpretation and implementation of UOS policies and procedures to maintain the accuracy and integrity of records related to students, degrees and courses.
Main accountabilities & expectations

  1. Manage academic records for all current and former students and supervises grading, records' editing functions, the production of transcripts, enrollment/degree verifications, and the processing of requests from students for grade changes while ensuring compliance with University polices and regulations.
  2. Ensure the reliability, accuracy, and security of student academic records. This includes the records of current students as well as graduated students.
  3. Implement and enforce institutional, professional, and legal standards and regulations related to academic records in a fair, honest, and consistent manner.
  4. Oversee the processes of credit equivalency for transferred students within and outside University of Sharjah in accordance with UOS by-laws.
  5. Prepare the lists of students who are eligible for graduation, i.e. "expected to graduate", after verifying their graduation requirements by registrars.
  6. Provide management, colleges, Admission Department, The Deanship of Students Affairs, The Media Center and other parties with the list of students who are expected to graduate, honor lists and related statistics.
  7. Monitor graduation processes and accuracy of graduation list, review graduation decisions and dates of completion implemented by registrars on students' records.
  8. Verify the academic information in graduates official transcripts and graduation certificates.
  9. Audit and sign graduation certificates, transcripts from concerned registrars and issue graduation letters.
  10. Verify degree awarded and dates of attendance as requested by third-party agencies.
  11. Issue letters declaring the estimated date of degree completion.
  12. Participate in internal committees, conferences and events related to registration as assigned.
  13. Conduct workshops and orientations sessions explaining UOS by-laws, registration instructions and regulations, Banner self-services, online registration, E-services, and other technical topics.
  14. Respond proactively to students queries through text messages, e-mails, social media accounts, and phone calls.
  15. Provide routine as well as upon-request statistical reports to support management in decision-making.
  16. Contribute to the overall success of the Registration Department by performing all other duties and responsibilities as assigned.
Job Specific Accountabilities

Required Skills
  1. Computer Skills: Possess a working knowledge of computer applications. Must have the ability to accurately and efficiently perform required computerized tasks, with the ability to learn new technology quickly.
  2. Customer Service Skills: Effective written and verbal communication skills required in both languages (Arabic/English). Frequent interaction with students, parents, and faculty members requires positive customer relations and ability to work with diverse populations.
  3. The ability to manage details associated with the implementation of complex policies and procedures is required.
  4. The ability to learn and use query tools is required.
Preferred Qualification & Experience

  1. Bachelor's degree is required; a master's degree is preferred.
  2. Preferred majors: Computer Science, Management Information System, Information Technology, Business Administration or any related major.
  3. Experience working with the Banner student module is preferred.
  4. Experience working in a higher education setting is preferred.
  5. Two years' experience in a similar occupation is preferred; candidates should have a firm understanding of changing technology.
