Job Purpose

Support the interpretation and implementation of UOS policies and procedures to maintain the accuracy and integrity of records related to students, degrees and courses.

Main accountabilities & expectations
  1. Assist in all administrative and operational functions related to registration for different programs according to UOS regulations.
  2. Assist in student registration processes for all students with focus on online registration and manage the onsite registration of the newly admitted students.
  3. Process students' requests such as change major, declare concentrations and minors, course substitutes, incomplete grades, final exam review, transfer courses and other.
  4. Ensure the reliability, accuracy, and security of student academic records. This includes the records of current students as well as graduated students.
  5. Assist in confirming final grades, calculate CGPAs, assign academic standings, implement grade changes and release them to students.
  6. Assist in implementing the processes of credit equivalency for transferred students within and outside University of Sharjah.
  7. Apply academic withdrawals, optional withdrawals, university withdrawals, registration terminations and disciplinary decisions on students' records.
  8. Assist in generating the list of students under probation and students who are subject to dismissal and implement their decisions in accordance with UOS by-laws.
  9. Assist in defining course catalogue which include course numbers, titles, credits hours, course type, level, pre-requisites, equivalencies, and other basic course information.
  10. Assign students to their study plans and maintain a degree audit.
  11. Assist in coordinating with colleges and departments to offer the required courses and sections for newly admitted, continuous, expected to graduate students, and ensure that class schedules are uploaded into the Registration Information System accurately on a semester basis.
  12. Assist in preparing the lists of students who are eligible for graduation, i.e. "expected to graduate", after verifying their graduation requirements. Assist in applying graduation decisions and dates of completion on students' records and verify the academic information in graduates official transcripts and graduation certificates.
  13. Participate in internal committees, conferences and events related to registration as assigned.
  14. Conduct workshops and orientations sessions explaining UOS by-laws, registration instructions and regulations, Banner self-services, online registration, E-services, and other technical topics.
  15. Respond proactively to students queries through text messages, e-mails, social media accounts, and phone calls.
  16. Assist in providing routine as well as upon-request statistical reports to support management in decision-making.
  17. Contribute to the overall success of the Registration Department by performing all other duties and responsibilities as assigned

Required Skills
  1. Computer Skills: Possess a working knowledge of computer applications. Must have the ability to accurately and efficiently perform required computerized tasks, with the ability to learn new technology quickly.
  2. Customer Service Skills: Effective written and verbal communication skills required in both languages (Arabic/English). Frequent interaction with students, parents, and faculty members requires positive customer relations and ability to work with diverse populations.
  3. The ability to manage details associated with the implementation of complex policies and procedures is required.
  4. The ability to learn and use query tools is required.
Preferred Qualification & Experience

  1. Bachelor's degree is required.
  2. Preferred majors: Computer Science, Management Information System, Information Technology, Business Administration or any related major.
  3. Experience working with the Banner student module is preferred.
  4. Experience working in a higher education setting is preferred.
  5. Two years' experience in a similar occupation is preferred; candidates should have a firm understanding of changing technology.
