Job Purpose

To process and provide technical support for all purchase requests related to laboratories' equipment and consumables, by either directly coordinating with the Procurement Department or as direct and orders using the department's allocated petty cash. As well as perform the necessary updates in the database and prepare various related reports.

Main accountabilities & expectations

  1. Prepare pre-assessment reports for purchasing requests received from colleges, research institutions, and maintenance team as per Central Labs policies and procedures.
  2. Conduct proper technical evaluations and/or technical meetings in coordination with end user, as well as submit appropriate recommendations to the end users and the Procurement department at the University.
  3. Verify the financial evaluation and creation of items' description required in order for the Procurement Department to issue the required LPOs.
  4. Follow up LPO release with the Procurement Department and take appropriate actions if any details or clarifications are required.
  5. Maintain the filing system to store all relevant and essential documents, as well as update the CLD database accordingly.
  6. Prepare the status report for purchase requests related to the Colleges and/or Research Institutes, as well update them regarding the status of their requests.
  7. Perform the verification of location availability and utilities needed to install equipment in coordination with the maintenance team.
  8. Tender some requests based on their estimated cost within approved Direct Orders and Petty cash thresholds, as well as confirm the orders to suppliers after technical and financial evaluation are completed.
  9. Perform the financial evaluation for some requests, based on their urgency, whenever needed after the approval of the Procurement Department and Compliance and Internal Audit Office.
  10. Research, evaluate and suggest appropriate suppliers for the new purchase requests.
  11. Assist in preparing various reports, analysis and statistics related to The Central Laboratories when requested by the line manager.

Required Skills
  • Excellent oral and written communication skills and the ability to prepare professional documents, in both Arabic and English.
  • Good laboratory management including knowledge of basic lab principles and applications as well as methods, equipment, materials and facilities.
  • Demonstrate a good understanding of operating the required software/hardware
  • Able to understand the meaning of common error messages and explain them to users in simple language.
  • Ability to organise and prioritise multiple tasks and produce reports under strict guidelines.
  • High integrity and openness combined with commitment to good governance
  • Use technical knowledge to help and assist users overcome any difficulties.
  • Flexibility and ability to function effectively as part of a team.
  • Excellent proficiency in MS office applications.


Preferred Qualification & Experience

  • Minimum of bachelor's degree in Engineering preferably Electrical/Electronics, Biomedical, Computer, Industrial, Instrumentation, Medical Laboratory Science or any related discipline.
  • 2-4 years of UAE experience in similar role preferably in higher education institutions.
  • Priority is to UAE Nationals.
