Job Purpose

To plan and perform tasks that involves ordering, receiving, inspecting, returning, unloading, shelving, packing, labeling, pricing, delivering, and maintaining a perpetual inventory of forms, office supplies, and various types of equipment at the University of Sharjah stores.

Main accountabilities & expectations

  1. Oversee and administer warehouse operations including maintaining inventory and using inventory management software to prepare purchase requisitions.
  2. Keep records to maintain inventory control, cost containment and to assure proper stock levels.
  3. Maintain receipts, records, and warranty documentations.
  4. Receive and review all incoming material, equipment and supplies from the providers.
  5. Oversee and inspect the delivery of merchandise following an established schedule and coordinate special deliveries by transmitting the necessary details to the relevant departments.
  6. Follow up with suppliers in order to make sure items are delivered in a timely manner, as well as ensure that the end-user has received the correct items. 
  7. Perform other stock-related duties, including sorting, packing, and labeling supplies.
  8. Maintain a filing system to store all relevant receipt vouchers (SRV), store issue vouchers (SIV) and all other documents.
  9. Monitor stock levels and available materials, and prepare constant reports, statistics and requests accordingly.
  10. Operate simple office machines, which may include computer assisted inventory, automotive equipment, and may operate a forklift or other light equipment used in moving heavy items.
  11. Ensure that Health and Safety standards are implemented at all times, and report any matters of concern to the line manager and/or related personnel in order to take action.
Job Specific Accountabilities
Required Skills
  • Excellent oral and written communication skills and the ability to prepare professional documents, in both Arabic and English.
  • Excellent proficiency in MS office applications.
  • Knowledge of storekeeping and inventory control procedures, recordkeeping and other clerical procedures.
  • Analytical mind with ability to make accurate mathematical computations.
  • Attention to detail.
  • Good physical form and ability to carry heavy items.
  • High integrity and openness combined with commitment to good governance.
  • Flexibility and ability to function effectively as part of a team.
Preferred Qualification & Experience

  • Minimum of a high school diploma.
  • 2-4 years of UAE experience in similar role preferably in higher education institutions.
  • Valid UAE driver's license.
  • Priority is to UAE Nationals.
