Job Purpose

As the Events Management Officer and a member of the Conference Management Center team, you are expected to plan and deliver various events (physically or online) such as conferences, seminars, workshops, open days, etc., on and off campus, and complete a wide range of activities requiring clear communication, the role of an event officer is hands-on and often involves working as part of a team.​

Main accountabilities & expectations

1. Review and understand all relevant policies and procedures in order to be able to carry out daily work tasks as expected and answer all stakeholder inquiries, clarifications, or any assistance related to the Conference Management Section accurately and efficiently.
2. Schedule facilities and services for events inside and outside the university, as well as maintain weekly and monthly events calendar and update the calendar as required.
3. Provide adequate information and assistance to faculty, staff, outside visitors, and external organizations regarding events organized by the department.
4. Coordinate with relevant faculty and staff members to collect event requirements and produce detailed proposals for events (e.g. schedules, timelines, venues, suppliers, legal obligations, staffing, and budgets).
5. Follow up with the relevant departments to ensure all event requirements are booked and available on time such as venue, catering, audio/video, lighting equipment, etc.
6. Compile material for event program; maintain mailing lists for distribution of event calendar or other relevant information; and maintain the events databases to document all event-related information.
7. Plan room layouts and the entertainment program, schedule workshops and demonstrations, and personally check event venues, set-ups, and equipment and ensure everything is in order.
8. Ensure adequate staffing for events and schedule set-up, technical, stage and other teams accordingly, as well as supervise team during events.
9. Coordinate with suppliers to obtain quotations for relevant event requirements and follow up on deliveries to ensure smooth operations.
10. Ensure media coverage of the events, that they are photographed and documented for publicity on the website, TV and archiving.
11. Maintains direct contact with personnel from the various eternal organizations and university departments associated with scheduled events.
12. Facilitate events operations and respond to emergencies and unexpected issues, as well as ensure all aspects of events are implemented and controlled according to plan. As well as prepare post-event evaluations and provide support to the line manager when preparing reports as required.

13. Complete any other job-related tasks as assigned by the line manager within the expected time limit.​

Required Skills

 
▪ Excellent oral and written communication skills and the ability to prepare professional documents in both Arabic and English.
▪ Excellent working knowledge of personal computer applications with an emphasis on MS Office applications such as Excel, Word, and Teams.
▪ Ability to organize events and meetings using various methods (e.g. virtual, in-person, etc.).
▪ Ability to brainstorm new ideas and implement event plans and concepts.
▪ General knowledge of event budgeting and invoicing.​

Desirable Requirements

▪ Minimum of bachelor's in Public Relations, Marketing, or a relevant discipline.
▪ 2-4 years of UAE experience in a similar role preferably in higher education institutions.

▪ Priority is to UAE Nationals.​
