Job Purpose

The purpose of the Medical Applications Specialist role is to manage, support, and continuously enhance medical colleges' academic systems and University Dental Hospital software. The role ensures that clinical, academic, and dental applications are reliable, secure, compliant, and effectively aligned with teaching, training, clinical operations, and patient care.

The specialist acts as the primary system owner and subject‑matter expert for medical and dental applications, with a strong focus on clinical education support, academic reporting, student grading, and engagement analytics.​

Main accountabilities & expectations
  • Act as the primary technical and functional lead for medical colleges' software and University Dental Hospital systems, ensuring continuous availability and operational stability.
  • Manage and support Axium Patient Management System for dental education and clinical operations, including patient records, appointments, billing, student activity tracking, and academic workflows.
  • Support and administer dental imaging and radiology systems such as Sidexis and Romexis, ensuring proper configuration, accessibility, and alignment with clinical teaching requirements.
  • Work closely with medical and dental faculty, clinicians, hospital administrators, and academic leadership to gather requirements and ensure systems support educational and clinical objectives.
  • Configure system modules, workflows, templates, and user roles in alignment with approved clinical, academic, and assessment processes.
  • Develop, design, and maintain reports and dashboards that support Student clinical performance and competency tracking and Academic grading and evaluation.
  • Oversee and validate integrations between medical/dental systems and other university platforms (e.g., SIS, ERP (Finance, HCM), SMS, reporting tools).
  • Ensure compliance with healthcare data privacy, security, and university IT governance policies, particularly for sensitive patient and student data.
  • Coordinate with vendors and third‑party providers on support, upgrades, patches, and enhancements, ensuring minimal disruption to clinical and teaching activities.
  • Participate in testing, validation, and acceptance of system upgrades and new functionalities prior to production use.
  • Maintain complete system and reporting documentation, including configurations, integrations, access roles, workflows, dependencies, and operational procedures.
  • Support audits, inspections, accreditation reviews, and internal assessments by providing accurate system evidence and reports.
  • Collaborate with infrastructure, security, development, and DevOps teams while maintaining clear separation of responsibilities.
  • Perform any other duties assigned by the line manager and Head of Section.

Required Skills
  • Strong functional knowledge of medical and dental academic workflows and clinical education environments.
  • Advanced experience with Axium PMS, including use of system data for student grading, performance tracking, and academic assessment.
  • Experience supporting and integrating other systems within a university dental hospital setting.
  • Strong reporting and analytical skills, with the ability to design custom reports and dashboards for faculty and academic leadership.
  • Solid understanding of data privacy, access control, and security principles for clinical and student data.
  • Strong documentation skills covering functional, reporting, and operational aspects of medical and dental systems.
  • Excellent communication and interpersonal skills, with the ability to work effectively with clinicians, faculty, administrators, vendors, and IT teams.
  • Strong organizational and problem‑solving skills in a mission‑critical healthcare environment.
Desirable Requirements
  • ​Bachelor's degree in Information Technology, Computer Science, Health Informatics, Biomedical Engineering, or a related field.
  • 4–6 years of experience supporting healthcare, medical, dental, or academic clinical systems.
  • Proven hands‑on experience with Axium Patient Management System in a dental hospital or academic dental environment.
  • Demonstrated experience in academic and clinical reporting, particularly for student assessment and engagement.​
